RENTAL POLICIES AND AGREEMENT RENT RV BC
These are the rental policies for renting from RENT RV BC.
At the time of rental, a copy will be provided for you to sign.
PENDING DATES ARE NOT CONFIRMED UNTIL A $700 RESERVATION/DAMAGE DEPOSIT HAS BEEN RECEIVED
Reservation/Damage Deposit
All payments may be made by Cash, Interac E transfer, Visa, MasterCard or Paypal.
$700 is held to secure renter’s reservation and to cover the deductible of insurance in case of collision and to cover losses or damages.
RV Rental must be PAID IN FULL 2-3 weeks before departure or RV will not be released to customer. No refunds for unused portions of rental. Unfortunately we cannot control the weather, no refunds on early returns.
RV Trailer Orientation
The RV Orientation is mandatory for all Renters. It will take place at the time of trailer pickup or delivery, and should take approximately 20-30 minutes.
Electric brake controller & 7 pin connector
All TOW VEHICLES must have a working brake controller, and 7- pin connector, before any Trailer can leave the lot. NO EXCEPTIONS. This is for safety reasons. Please confirm, brake controller and 7- pin connector, are in proper working condition, before you arrive to pick up the trailer. ABSOLUTELY NO REFUNDS FOR INOPERATIVE BRAKE CONTROLLER or 7 – PIN CONNECTOR. For more info click here TOW REQUIREMENTS
Cancellations
CANCELLATIONS DURING LOW SEASON:
To keep reservation, full rental payment must be received 2 weeks in advance of pickup date, or booking will be cancelled. $700 reservation/damage deposit will be forfeited for non-payment and booking will be cancelled.
Cancellations with 30 days or more notice; Renter will be given full refund of all monies received less a $50 cancellation administration fee. Cancellations of 15-29 days notice; Renter will be given full rental payment refund and $350 of the $700 reservation/damage deposit will be forfeited. Cancellations of less than 14 days; full rental payment will be forfeited and $700 reservation/damage deposit will be refunded.
No refunds of rental payment caused by any weather conditions or forest fires. ($700 reservation/damage deposit will be refunded, minus $50.00 cancellation/administration fee)

Cancellations of 22 – 29 days; Renter will be given full rental payment refund and $350 of the $700 reservation/damage deposit will be forfeited. Cancellations with 21 days or less; full rental payment will be forfeited and $700 reservation/damage deposit will be refunded.

Holding Tanks
Customer may empty and clean out, or pay $85.00 to Rent RV BC to drain and clean them. Please refrain from putting feminine hygiene products in the toilet. They will back up the trailer sewage system, and a charge for repair will incur.
Damages and repairs
ABSOLUTELY NO GRAVEL ROADS. LOSS OF $700 DAMAGE DEPOSIT IF THERE IS ANY SIGN OF GRAVEL ROAD. All trailers are GPS monitored. (Gravel roads within the campsite are permitted.)
ALL FLAT TIRE CHANGES AND ALL TIRE DAMAGE IS CUSTOMER’S RESPONSIBILITY.
Renters are responsible for any damages to the RV trailers (interior and/or exterior) and will be charged accordingly for repairs. Make sure all roof vents are closed when the possibility of rain is forecasted.
Rent RV BC liability for loss or damage
Rent RV BC does not assume any liability for loss, damage or injury to persons or their personal property. Neither do we accept liability for
any inconvenience arising from any temporary defects or stoppages in supply of water, gas, electricity or plumbing. Nor will Rent RV BC accept liability for any loss or damage caused by weather conditions, natural disasters, acts of God, or other reasons beyond its control.
Note: Any breakdowns or expenses that occur because of abuse, misuse or negligence, will not be reimbursed. Obey traffic laws.
Violations/Bridge Tolls
Renter is responsible for paying all parking or driving violations. Renter is responsible for reporting all accidents. Any tolls incurred can be payed at time of return. Any tolls incurred by trailer and not reported at time of return will be billed within 14 days of return, plus a $15 service charge.
Unserviced Camping (No full hook-up)
Batteries have limited use (will not support prolong furnace use, or extended lighting) and generators are not supplied. Rent RV BC will not be responsible for loss of fridge, food, furnace, lights, etc. for low or dead auxiliary batteries. Renters are advised to use Campground facilities washrooms/showers as much possible to avoid sewer tank overflow into the RV trailer. If sewer tank overflows a minimum $500 sanitation fee will be charged to your $700 damage deposit.

High Season (Friday June 14, 2024 – Sat Sept 14, 2024 ) is Weekly Only. Saturday to Saturday or Friday to Friday.
Times depend on campsite access.
Delivered to Campsite: 3:00 pm – 6:00 pm
Picked Up from Campsite: 10:00 am -10:15 am
Rent RV BC cannot be held responsible for delays, ie. traffic accidents, mechanical breakdowns, weather related problems etc.
Any delay will be confirmed with the Renter ASAP.
General Trailer Information
Rent RV BC reserves the right to substitute RV trailers. Rent RV BC (delivered) trailers are stationary and are not to be moved by anyone other than an employee of Rent RV BC. Hitch locks will be on all trailers. Generators are not supplied. Available for Rental from $150.00 per week with full tank of gas. Renter is responsible for any extra refueling cost. Outdoor cooking and/or BBQing can only take place a minimum of 10 feet from any part of the RV trailer. Water on site and/or in the RV trailer tank(s) is no guaranteed to be potable (drinkable). Suggest bringing your own bottled water for drinking.
Responsibility
Every effort will be made by Rent RV BC to ensure your trailer is available on time, clean and free of mechanical concerns. If the previous renter caused damage or the trailer is unrentable for any reason and it is beyond the company’s control, Rent RV BC reserves the right (if available) to substitute a different trailer. A higher rated trailer would have no additional cost and if a lower rated trailer must be substituted, the company’s only responsibility is to refund the difference between the two trailers. Rent RV BC will not be responsible for loss of fridge, food, furnace, lights, etc. or for low or dead auxiliary batteries. Rent RV BC is not responsible for any vehicle break down, any extra cost of charges for late returns, towing or recovery of a trailer because of tow vehicle break down not arranged through Roadside will be charged to the renter.
Trailer Travel Restrictions
ABSOLUTELY NO GRAVEL ROADS. (Campground permitted) LOSS OF $700 DAMAGE DEPOSIT IF THERE ARE ANY SIGNS OF GRAVEL ROAD.
BC TRAVEL; Trailer is ONLY permitted as far NORTH as Prince George. Travel is not permitted WEST on Hwy #20 to Prince Rupert or Hwy #16 to Bella Coola.
Alberta TRAVEL; Trailer is ONLY permitted as far NORTH to Edmonton Alberta. As far EAST as the Alberta and Saskatchewan border. No travel permitted to Saskatchewan.
USA TRAVEL; Trailer is ONLY permitted in Washington and Oregon states.
During Low Season Only: For rentals longer than 2 weeks, exceptions may be made for further travel south, depending on circumstance.
Disregarding these restrictions will result in loss of $700 damage deposit.
All trailers are GPS monitored.
Travelling to music festivals i.e. Merritt Mountain Fest, Burning Man is strictly prohibited. Failure to comply with any of these restrictions will result in loss of $700 damage deposit. All trailers are GPS monitored. SMOKING in units will result in loss of $700 damage deposit. PETS in units will also result in loss of $700 damage deposit.
Trailer Winter Rentals (Nov, Dec, Jan, Feb, Mar) *WEATHER PERMITTING*
Due to freezing temperatures that can damage trailer water lines and because of winter road conditions, trailers may not be available. Winter rentals are limited to Lower Mainland areas only, at our discretion, during this time.
Insurance
Insurance is included in the rental fee and covers five million liability with $700 collision deductible. Our RV insurance is separate from your tow vehicle and doesn’t affect your required tow vehicle insurance. Renter is responsible for any and all claims. All renters must be at least 30 years of age, with at least 10 years of driving experience . No “N” or “L” driver license permitted. Drivers have to be listed in the contract (copy of driver’s license) and in possession of a valid driver’s license.
Awnings
Awnings are the responsibility of the renter and are susceptible to wind, rain and falling objects. RV trailers will be delivered with awnings retracted. Awnings are inspected before and after each rental. Awnings must be retracted when leaving the RV trailer for extended periods of time. When in use, awnings must be set up with a slope to one side so rain water drains off. Awnings must always be retracted overnight and retracted when windy. Do not have the awning low enough so that when entering and exiting the door rubs the awning. Do not hang anything from the awning arms and do not allow children to climb them. Smoke trapped by the awning will activate the interior smoke detector. Awnings can be damaged very easily so keep all fires well away. If you don’t feel comfortable with operating the awning, keep it closed. Renter is responsible for all awning damages (upwards of $2000).
Air Conditioning
It is important not to over use the A/C. If you are planning to be absent please turn the A/C off. Prolong use will ice up the unit and cause it to be in-operable.
Lost Keys
If renter loses keys and needs to have the RV trailer unlocked, a minimum $200 fee (depends on location of RV trailer) will be charged to your $700 damage deposit.
If renter does not return the keys at the end of their stay, a $75 key replacement fee will be charged to your $700 damage deposit.
Repairs
Any breakdowns or expenses that occur because of abuse, misuse or negligence, will not be reimbursed. If it is necessary to have repairs made during your trip, receipts and old parts must be returned to us for reimbursement. Any and all repairs must have prior approval, before reimbursement will be made. Call Rent RV BC 604-803-3929 FOR ASSISTANCE AND APPROVAL. Rent RV BC responsibility, is limited only to the refund of the daily gross rate or portion thereof if the breakdown repair of trailer takes longer than 24 hours. Defects on Radio / CD / TV / DVD / GPS, generator, air conditioning, refrigerator, microwave, awning, furnace, BBQ, camp stove, table top heater, hot water tank, slide-out malfunction, etc. are not considered to be mechanical breakdowns and excluded from refunds. However, every effort will be made to repair trailer accessory defects ASAP. Compensation for any defects will be discussed, and will depend on the inconvenience of the defect.
Drivers
All renters must be at least 30 years of age, with a minimum of 10 years of driving experience . No “N” or “L” driver license permitted. Drivers must have some towing experience. Drivers have to be listed in the contract (copy of driver’s license) and in possession of a valid driver’s license.
Clean-up Fee
TRAILERS MUST BE RETURNED CLEAN (both inside and outside) OR A MINIMUM OF $100 WILL BE WITHHELD FROM YOUR $700 DAMAGE DEPOSIT.

*** No pets in units. Pets in units will result in loss of your $700 damage deposit***
(Please be considerate of people with allergies).
No raw fish or seafood to be stored in fridge or freezer. Subject to a minimum $100.00 cleaning fee. (Please bring your own cooler for raw fish or seafood.) Rent RV BC reserves the right to hold the $700 damage deposit for a reasonable period of time to allow for a trailer inspection.
Taxes
7% PST & 5% GST.
Rent To Tow Trailers, Pickup and Return Times
High Season (Friday June 14, 2024 – Sat Sept 14, 2024 ) is Weekly Only. Saturday to Saturday or Friday to Friday.
PICK UP: 2:00 PM – 5:00 PM. RETURN TIME: 10:00 AM – 11:00 AM. SUBJECT TO A $75.00 PER HOUR LATE FEE AFTER 11:00 AM Early Pickup and Drop off has to be confirmed ahead of time.
Our business hours for Reservations and Information is 9:00 am to 7:00 pm 7 days a week. The trailer can be picked up by previously scheduled appointment if available.
Additional terms and conditions
Terms, policies, and prices are subject to change without notice. All rented accessories must stay on renters camp ground site. Renters assume all risk for theft or damage to all rented accessories, and will be subject to full replacement cost. The use of the axe is the renter’s responsibility and the renter will not hold Rent RV BC liable for any injuries. All rentals and rented accessories are subject to the terms and conditions of the rental contract. IF CUSTOMER SUPPLIES TOW HITCH, THE CUSTOMER IS RESPONSIBLE FOR ANY ADJUSTMENTS AND THE HITCH MUST MEET THE PROPER TOW RATING AND REQUIREMENTS. Rent RV BC reserves the right to refuse to rent to any person for any reason. If Renter(s) violates any conditions of this agreement, Rent RV BC may terminate this agreement and forfeit all monies collected from the Renter. Upon notice of termination of this agreement, Renter shall vacate the RV immediately.
Weather or Forest Fires
Renter is responsible for any loss or damage caused by weather conditions or forest fires. No refunds of rental payment caused by any weather conditions or forest fires. ($700 reservation/damage deposit will be refunded, minus $50.00 cancellation/administration fee) No refunds on early returns.
